Correct Press Credentialing: It’s All About the Details

The credentialing system for a major event such as the USA Pro Cycling Challenge can present a number of challenges (more than 650 credentials were issued for the 2011 race). For instance, the race involves moving operations on a daily basis more than 100 miles to new locations.

Steve Brunner, president, KOM Sports (which handled the press logistics), says preparation and fulfillment—from credential pick up to staging photographers on streets and motorbikes—takes a high-degree of organization. Here are some credentialing tips from Brunner:

  1. Clearly identify the different levels of access.

  2. Have people provide e-mail addresses twice in case of a typo so you can be sure to have a way to contact them.

  3. Provide detailed instructions for credential pickup, so people understand the process.

  4. Open the call for credentials with plenty of time before the event (at least one month).

  5. Thoroughly review all requests and use set criteria to determine the approval process.
